PRE-REG POLICY / CHECK IN PROCEDURE
PRE-REGISTRATION INFORMATION

Pre-registration information needs to be sent to the following address:

Please include the following information with your payment:
1. Make all checks/money orders out to POLAR
2. Your name, address, phone number, birth date, and home chapter
3. The event you are pre-registering for.
4. How many nights you will be staying.
5. With whom you would like to stay.
6. Any production items your character wishes to create. Please include whose workshop if any you will be using.
7. Current up to date and signed Medical&Legal release form.  Remember: all players under the age of 18 must have a parent or guardian's signature on these forms before they will be allowed to play.

DO NOT mail this information after the pre-reg deadline. Please call ahead and notify us if you will be attending. We will let you know at that time if there is room for you.

If you miss the pre-reg dead line, there will be a $10.00 fee assessed to your event fee.

You can pre-reg and cancel one time without penalty per year. After this one time, you will forfeit your pre-reg fees. Your First canceled event fee will be applied to your next attended event. You must still follow the normal pre-reg policies.

CHECK IN PROCEDURES

· Check in is held from 8 PM to 10 PM at the start of events unless otherwise stated. Opening ceremonies will begin at 10:30PM. The event will start at 11 PM.

· During check in / logistics we ask that you form a single file line. Please keep conservations to a quiet level so we can speed check in / logistics along at a quick efficient pace.

· Please bring all weapons and armor with you to logistics. These items will be inspected at every event.

· Opening ceremonies will be held at 10:30 pm.

· Every one must attend opening ceremonies unless given permission by the GM or Event Director. There are no exceptions to this rule.
